Use a consistent pattern you can recognize without opening the file: date, item, document type and, when needed, version. Keep the name short enough to scan on a phone.
A naming system helps you find records. It does not establish a warranty’s terms, replace required originals or create a backup. Keep the source documents and check the seller’s or manufacturer’s requirements separately.
1. Choose one repeatable pattern
Try YYYY-MM-DD_item_document-type.ext. The year-first date sorts chronologically when names follow the same pattern.
These are invented examples for a fictional purchase:
2026-11-02_kettle_receipt.pdf2026-11-02_kettle_warranty.pdfkettle_model-K100_manual.pdf
For purchase records, use the purchase date shown on the document. For a manual with no meaningful purchase date, use the model instead of inventing a date. Decide this rule once and keep it consistent.
If you own several similar items, add a short differentiator such as office-kettle. Use a model identifier when it helps select the correct instructions; avoid putting account numbers or other sensitive details in filenames.

2. Keep the vocabulary small
Choose a few document types: receipt, invoice, manual, warranty, service. Avoid alternating between “proof,” “purchase,” “bill” and “receipt” for the same kind of record unless the distinction matters.
Use a consistent separator, such as an underscore between fields and a hyphen inside a phrase. Keep the real file extension. Renaming a photo from .jpg to .pdf does not convert it into a PDF.
For portability, use ordinary letters, numbers, hyphens and underscores. Microsoft’s OneDrive documentation lists filename restrictions, including characters such as colon, question mark and slash. A date written with hyphens avoids the slashes that commonly appear in printed dates.
Keep folders shallow and names reasonably short. Path limits can include all the folders above the file, so a short filename can still be part of an overly long path.

3. Group related records where you will look
One simple layout is Home documents → Appliances → Kettle-K100. Put the receipt, correct model manual and relevant warranty document together.
For a household with many purchases, year folders may work better. Choose based on how you search: by item or by purchase date. Avoid storing several competing “master copies” in different places.
Keep an Inbox folder for new scans and downloads, then clear it during a regular review. A temporary inbox is useful only if files eventually receive a meaningful name.
Store private records in an appropriately protected location. A filename can be visible in a shared folder, notification or recent-files list even when you have not opened its contents.

A five-file trial before a large cleanup
- Choose one recent purchase with a receipt and related documents.
- Check that each scan opens and its important details are readable.
- Rename a working copy using your chosen pattern.
- Search for the item name, model and document type.
- Open the result and confirm it is the right record.
Use this record: old name / new name / document date source / destination / opened and checked / source retained.
For example: “IMG_4821.jpg → 2026-11-02_kettle_receipt.jpg / date on receipt / Kettle-K100 folder / readable / original retained.” This is an illustrative rename, not an actual household document.

4. Handle revisions and backup deliberately
If a revised document matters, add a version suffix such as _v02. Do not use “final-final-new” as a version system. Preserve the original when its provenance matters, and distinguish an edited working copy clearly.
Before a bulk rename or move, make a recoverable copy and test a small group. Check synchronization status afterward if you use cloud storage; do not assume that a renamed file has reached every device.
Our sync-versus-backup explanation shows why another synchronized view is not necessarily an independent copy.
